LODGES: Conditions of Booking

Making a booking

  • All bookings are accepted at the management’s discretion, they reserve the right to refuse or terminate the stay of person or persons creating a nuisance or disturbance to others. 
  • The booking must be submitted by a member of the party who is over 18 years old, this person must stay with the party on site for the duration of the booking.
  • Lodges will only be reserved if a deposit (20% of the booking value) has been paid and confirmation given. 
  • Where clients have been advised of their lodge the management reserve the right to reallocate an alternative lodge at their discretion.
  • The balance for all bookings is required 8 weeks prior to your arrival, unless by prior arrangement. On receipt of your balance, ferry tickets, if booked by us, will be issued. Non-payment by the due date may be treated as a cancellation.
  • Please note that once you have booked your stay and deposits are received, you are entering a legal contract.

 

The cautionary deposit

  • A cautionary deposit of £125 will be charged to your booking. Where the lodge is left in a reasonable state of cleanliness and no damage has occurred, you will be refunded the whole amount of the cautionary deposit within 7-10 days of the end of your booking date. Where a deduction of the cautionary deposit is made, the balance will be paid as soon as practicable once quotes for replacement or remedial work have been received.
  • Whitefield Forest will be entitled to deduct from the cautionary deposit the cost, including but not limited to reasonable costs for breakages, damage, cleaning, and any other incidental costs where applicable and shall be entitled to charge any additional amount where the cautionary deposit does not fully cover the cost of rectifying the damage caused. 

 

Special Requests

  • If you have any special needs or special requests, please advise at time of booking. We will endeavour to meet your requests if possible.

 

Ferry Reservations

  • Ferry reservations are made subject to availability.
  • Any amendments must be made through Whitefield Forest Touring Park, there is an administrative charge of £20.00 to alter reservations after booking confirmation.
  • Ferry reservations can only be made for clients who are staying with us for the duration of their holiday.

 

Site Rules

  • Lodges will be available from 16:00 on the day of arrival and must be vacated by 10:00 on the day of departure. 
  • The speed limit on site is 5MPH, please comply with it.
  • Only one car is allowed per lodge, unless permitted by prior arrangement, each additional vehicle will be charged at £2.50 per night.
  • Guests are required to be quiet between 10.30pm and 7am. No loud music is allowed at any time.
  • Parents and guardians are responsible for the safety and good behaviour of their children at all times and must not leave children unattended on the park. Children MUST be accompanied by an adult in the play areas and amenities block.
  • Bicycles are allowed to be ridden around the site providing due care and consideration is given to other visitors.
  • No smoking or vaping is permitted in any of the lodges or other buildings on the site.
  • BBQ’s – are provided and MUST be kept off the ground.
  • Due to our forest environment, we regret that NO campfires are allowed on site.
  • Rubbish is to be disposed of in the appropriate refuse areas as explained in the information pack in each lodge.

 

Linen

  • The bedrooms can be set up as a double and twin beds or 2 double rooms – please let us know at time of booking. Each lodge is equipped with bed linen (duvets, sheets, pillowcases), bath and hand towels, bathmats, oven mitts and tea towels. Clean bed linen etc will be provided on the booking start date. No change of bed linen will be provided except during fortnightly stays where a weekly change of bed linen etc will be provided.
  • If additional linen or towels are required they can be requested.

 

Visitors

  • Guests are welcome to bring day visitors into the lodges and onto the park, but they must be booked into Reception on arrival or via email during the winter months.

 

Dogs

  • Dogs are welcome in the lodges; a charge will be made in the sum of £25 per pet per stay. Guide or hearing dogs are permitted to stay at no extra charge. Please contact us if you are bringing more than 1 dog. 
  • Pets are not permitted on the beds or on the furniture. They must not be left in the lodges unattended or become a nuisance to others.
  • Please ensure that all dogs are exercised in the areas provided and are kept on a lead at all times when on site.
  • Dogs are not allowed in the showers or toilet block on the park.
  • Dog fouling is not permitted around the lodges or the park. If an accident happens it MUST be cleaned up and disposed of in the bins provided.
  • If you or your guests have an allergy to animals, please be aware that Whitefield Forest cannot guarantee that an assistance dog, or other animals have not stayed in the lodges. We cannot be responsible for any health condition which may occur as a result of any animals having been present in a lodge.

 

Refunds & Cancellations

  • All deposits are non-refundable.
  • If you wish to cancel your booking you must notify Whitefield Forest by post, email or telephone before the booking start date. Once the booking has commenced it cannot be cancelled and no refunds will be given if you leave early.
  • If a cancellation is made, a charge will be payable depending on the number of days before the letting start date that the notice is received by Whitefield Forest. The amount payable is set out as follows:

  • In the event of non-arrival on the specified date and no contact from the guest, the management reserve the right to re-let the pitch the following day.
  • Whitefield Forest Touring Park are not liable for refunds or expenses you incur if we are prevented from fulfilling your booking as a result of circumstances beyond our control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, pandemics, health risks or other such similar events (‘Force Majeure’). 
  • The management will not be held responsible to any persons listed on the booking form for any loss or damage to property or personal injury. The management will not be held responsible for any residue or leaves from trees etc. whilst staying on site.
  • We recommend that you have adequate holiday insurance in place to cover these and other eventualities.

 

Data & Privacy

  • In making a booking we will ask for personal information such as your name, postal address, email address, telephone number and payment details. Relevant information will be shared with the relevant ferry company if we are booking your ferry, otherwise this information will not be shared outside of Whitefield Forest Touring Park.
